The mission / The need

A clear ambition

How do you best prepare 8,000 employees and 56 departments for one of the biggest organisational changes in the Danish hospital sector – a major relocation from Sygehus Nord to Hospitalsbyen? That is precisely the focus of this case study. The ambition is clear: to ensure that all employees can find their way around, work and collaborate effectively in their new physical, technological and organisational environment – even when things get hectic.

The problem

A complex challenge with no room for error

The project team faced several complex challenges:
  • Limited time and resources: The first moving boxes were due to be shipped as early as February 2025, placing significant demands on both the development of training methods and communication.
  • Decentralised organisation: Each department has a team responsible for the move, and the project needs to support their local planning and delivery of training.
  • A long implementation timeline: There is a substantial gap between training and relocation, increasing the risk that knowledge and learning will be lost before they can be applied.
  • Cultural change: Reshaping workflows and working environments requires not only new knowledge, but also a focus on supporting changes in culture and ways of collaborating.
  The project team therefore needed inspiration and practical methods to ensure that the training is:
  1. Targeted and relevant – so employees receive training in the right things.
  2. Integrated into both the timeline and the organisation – so it genuinely helps employees succeed in their new working environment.

The solution

More than a digital platform

More than 70 employees from across the departments came together for a day of inspiration and workshops built around two key models from Blendit Learning.

The Barrier Model

This model was used to analyse and address the factors that could potentially prevent employees from succeeding in their new surroundings. Participants worked on identifying barriers such as:
  • Lack of information
  • Unclear workflows
  • Lack of motivation or incentives
  • Physical or structural factors in the new environment
The aim was to categorise and address these barriers at the appropriate level – for example, through learning, information or escalation to management when structural issues were involved.

Train Transfer Sustain

This model was introduced to address the challenge of forgetting information over time. The focus was on:
  • Before the move: How can training and support be planned to match the actual needs and timing within each department?
  • After the move: How can knowledge be retained and its practical application supported through easily accessible resources and follow-up activities?
Participants worked in 10 cross-departmental groups and developed practical ideas for applying the models in their own departments – focusing on what needs to work when the hospital corridors are busy.

The result

More than a digital platform​

The day of inspiration provided both a shared language and practical tools that participants could take back and use in their local planning. This led to:
  • Greater awareness of the actual learning needs during the relocation process
  • Stronger ownership within departments of planning and facilitating effective training
  • Practical methods to ensure that learning translates into action – even when there is a long gap between training and the actual move
  • Closer collaboration across departments, focused on addressing shared challenges

The project team is now turning the many ideas and insights into practical, targeted learning programmes that ensure employees feel confident and well prepared for their first working day at Hospitalsbyen.
